Privacy Policy

This policy explains what personal information Tradexa collects, why we collect it, who we share it with, and the choices you have. We keep it in plain language on purpose.
1. Who this policy covers
This policy applies to our website at tradexa.au, our missed-call web app, and our dealings with prospective and current clients. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
2. The personal information we collect
When you enquire through our website
If you fill in the enquiry form or book a call, we collect:
- Your name
- Your phone number
- Your trade and roughly how many calls you miss a week
- Anything else you choose to tell us when you book a call
When you use the app as a client
- The email address you sign in with
- Notification permissions and device details needed to send you alerts
- Basic technical information such as your IP address and browser, logged by our hosting providers
Call information we handle for our clients
When you are a client, our app receives details about the people who call your business, such as their name, phone number, suburb or address, and what they were calling about. We handle this information on your behalf, as your service provider. You (the trade business) decide how it is used and remain responsible for telling your own customers how their information is handled, including any call recording. We do not use your customers' details for our own marketing.
3. How we collect it
We collect most information directly from you, when you complete a form, book a call, sign in, or email us. Call information reaches us automatically through the phone and lead systems we set up for your business (including our AI phone assistant, the telephone network behind it, and the tools that route the details to your app). Some technical information is collected automatically by our hosting and email providers when the site or app is used.

- To reply to your enquiry and arrange a demo
- To set up, run, and support your Tradexa service
- To show you your incoming calls and send you notifications
- To send you account and service messages
- To improve the service and keep it secure
- To meet our legal obligations
5. Who we share it with
We do not sell your personal information. We share it only with the service providers we rely on to run Tradexa, and only so they can perform their part of the service. These currently include:
- Supabase: our database and login (data hosted in Sydney, Australia)
- Vercel: website and app hosting
- Resend: sending login and account emails
- Vapi: our AI phone assistant that answers your calls (may process call information overseas)
- Twilio: your business phone number and the call connection (may process information overseas)
- Make: routing call and enquiry details between our systems (may process information overseas)
- Cal.com: our demo booking calendar
- Sentry: error monitoring so we can find and fix faults (may process limited technical data in the United States)
- ImprovMX: forwarding email sent to our tradexa.au address
- Google Fonts: loading the fonts used on our website
We may also disclose information if the law requires it, or to protect our rights, safety, or property.
6. Storage outside Australia
We aim to keep your core data in Australia (our database is hosted in Sydney). Some of the providers listed above are based overseas, mainly in the United States, and may store or process limited information outside Australia. Where that happens, we take reasonable steps to make sure your information is handled consistently with this policy.
7. How we protect it
We use reasonable security measures, including access controls, encryption in transit, and row-level restrictions so each client can only see their own data. No system is perfectly secure, but we work to protect your information and to limit who can access it.
8. How long we keep it
We keep personal information only as long as we need it for the purposes above, or as the law requires. If you enquire but do not become a client, we remove your enquiry details when they are no longer useful. When you stop being a client, we delete or de-identify your data within a reasonable period, unless we are required to keep it.
9. Cookies and similar technology
Our website uses Google Analytics to understand how visitors find and use the site, such as which pages they view and where they came from. Google Analytics sets its own cookies and receives information such as your IP address and the pages you visit, under Google's privacy terms. We use this only to measure and improve the site, not for advertising, and we do not sell this information. We do not use advertising cookies. The app uses essential cookies to keep you securely signed in. Other third-party tools we load, such as the Cal.com booking widget and Google Fonts, may set their own cookies or receive your IP address when you use them, under their own privacy terms.
10. Marketing and your choices
If you have enquired or are a client, we may contact you about your demo or service. We follow the Spam Act 2003 (Cth): any marketing message will tell you who it is from and give you an easy way to opt out. You can tell us to stop at any time by replying or emailing us.
11. Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is wrong. Email tradexa.au@gmail.com and we will respond within a reasonable time. If we cannot give you access, we will explain why.
12. Complaints
If you think we have mishandled your information, please contact us first so we can try to fix it. If you are not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
13. Children
Tradexa is a service for businesses and is not intended for anyone under 18. We do not knowingly collect information from children.
14. Changes to this policy
We may update this policy from time to time. The current version is always on this page, with the "last updated" date at the top. If we make a significant change, we will take reasonable steps to let clients know.
